Privacy Policy

When your clinic creates an account or uses BehaviorScout™, your team provides information directly, including:

• Account & identity: the names, emails, phone numbers, and passwords of your hiring-team members.
• Organization details: clinic or company information, locations, certifications, billing contacts, and tax details.
• Job postings & messages: the roles you publish and communications your team sends to candidates through the platform.
• Candidate data you access: the profiles, credentials, and application materials candidates share with you through the service.

As your team uses the service we collect standard technical data: device and browser type, IP address, pages viewed, search and matching activity, and approximate location derived from IP.

We use cookies and similar technologies to keep your team signed in, remember preferences, and measure platform performance. See § 08 for cookie choices.

We process personal information to:

• Operate the platform and surface qualified candidates for your open roles;
• Power search, matching, and credential verification, and maintain trust and safety;
• Communicate about your postings, applicants, billing, and account activity;
• Improve, secure, and troubleshoot the service; and
• Comply with legal, regulatory, and contractual obligations.

Our legal bases include performing our contract with your organization, your consent, our legitimate interests in operating a recruiting marketplace, and legal compliance.

We share personal information only as described here:

• With candidates: your clinic's identity and role details are shown when you post an opening or message a candidate;
• With service providers: vetted vendors (hosting, analytics, payments) bound by confidentiality;
• For legal reasons: to comply with law or protect rights, safety, and the integrity of the platform.

We do not sell personal data or share it for cross-context behavioral advertising.

We never share mobile phone numbers, or text messaging opt-in data and consent, with third parties or affiliates for their marketing or promotional purposes. The categories above exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.

We retain personal information for as long as your organization's account is active and as needed to provide the service. After closure, we delete or de-identify data within a reasonable period, except where retention is required for legal, tax, audit, or dispute-resolution purposes.

Candidate application records your team receives become your responsibility as a separate data controller and are governed by your clinic's own privacy practices.

For the personal data we hold about your hiring-team members and organization, you may have the right to:

• Access a copy of the data we hold about your team;
• Correct inaccurate or incomplete information;
• Delete your data, subject to legal exceptions;
• Port your data to another service;
• Object to or restrict certain processing, and withdraw consent.

Manage most controls in account settings, or contact us at privacy@behaviorscout.com. We will not discriminate against your organization for exercising these rights.

When candidates share their profiles with your team, your clinic acts as an independent controller of that data. You agree to use it solely for legitimate hiring, keep it confidential, and comply with all applicable privacy and employment laws.

We use strictly-necessary cookies to run the platform and optional analytics cookies to understand usage. Your team can manage non-essential cookies through the browser or our preference center. We honor recognized opt-out signals where required.

We use administrative, technical, and physical safeguards, including encryption in transit, access controls, and ongoing monitoring, to protect personal information. No method of transmission or storage is perfectly secure, but we work continuously to protect your data and will notify you of incidents as required by law.

International transfers. We may process data in countries other than your own, using appropriate safeguards such as standard contractual clauses.

Minors. BehaviorScout™ is intended for users 18 and older. We do not knowingly collect data from children.

Changes. We may update this policy; material changes will be posted here with a new effective date and, where appropriate, direct notice.

With your consent, BehaviorScout (by FindBCBAs) may text the phone number you provide about your account and our services, including account alerts, updates, and outreach. Consent isn't required to use BehaviorScout.

Message frequency varies, and message and data rates may apply. Reply STOP to opt out at any time, or HELP for help.

Mobile information, including your phone number and your text messaging opt-in and consent, is never shared with third parties or affiliates for marketing or promotional purposes.
